During Web Summit week the city has more events than rooms. That single imbalance explains everything else about planning one.

Web Summit 2026 runs from 9 to 12 November at the MEO Arena in Parque das Nações. The week around it is when most of the actual conversations happen.

Book the room before you plan the event

Venues in central Lisbon fill for that week months in advance. Every year, the people who end up without a space are the ones who settled the guest list, the speakers and the sponsor first, and went looking for a room in October.

Reverse it. Hold a room, then build the event inside the constraints you have — capacity, hours, whether you can serve food, how the space resets between sessions.

Timings that work

The conference occupies the middle of the day and empties in the late afternoon, so the workable slots are breakfast, the early evening from around six, and late night. The early evening is the busiest and the most competitive: expect your guests to be attending two other things the same night.

Plan for that. A ninety-minute format with a hard start beats a three-hour open house, because people are moving between venues and will arrive for the part they came for.

Expect drop-off

Free registration during that week converts at a fraction of the sign-ups. People over-register on purpose because they do not know yet where they will be. Overbook deliberately, and design the room so it looks right at both the low and the high end of the range.

A confirmation message the morning of the event recovers more attendance than any reminder sent a week before.

What the space needs to do

Our hub in Alfama is roughly 285 m² including a designer lounge, and it works for talks, panels, afterworks and private dinners because the same floor can be reset between formats. What matters in practice is less the square metres and more whether the room can go from seated audience to standing networking without a break in the energy.

The other advantage of being in the same building as the studios: a panel can be filmed and a guest can record an episode either side of it. During that week, content is half the reason people say yes.

Practical details people forget

Getting to Alfama during that week is fine — Santa Apolónia is at the bottom of the hill — but the last stretch is uphill and cobbled, so send precise directions and warn people about shoes. Rideshare surge across the city that week is significant in the early evening.

Decide catering and drinks early; suppliers are booked out along with the venues. And nominate one person whose only job on the night is the door, because someone always needs to be found.
